Job Description

  • Provide general administrative support for team such as correspondence, conference room maintenance, etc. as needed
  • When necessary, support with monthly audits on information management to ensure consistency and completeness (office)
  • Arrange conference calls / meetings and distribute information about such to attendees and interested parties
  • Take accurate meeting minutes during very fast-paced conference calls / meetings to include tracking of action items and follow-up responsibilities, then prepare for distribution to attendees / interested parties.
  • Take responsibility to keep office suppliers updated and again track any action items from this.
  • Liase with mobile to get cards for new starters and closing the cards when somebody leaves the company
  • Maintain knowledge of location of team members through the day for contacting purposes
  • Control correspondences / Telephones / Reception
  • Supply acquisition ( stationary, water supply, extinguishers, fire alarm system, air conditioning, alarm system, sanitizing, electrical system, printer, safety equipment to work at site)
  • Support team with IT / Coordination; Keep database updated (software, hardware, cameras, etc), buy assets according to budget, chase providers, build new assets received, Capex, help colleagues with IT issues, liase with IT, passwords, etc.
  • delivery and return of assets (form duly signed)

  • Create and maintain team directory and contact list and distribute to team members
  • Provide back-up to Finance and Human Resources, when necessary
  • Coaching and disciplining the team about Office and Safety Procedures Book flight, accommodations and rental of car for colleague and visitors, taxi coordination.
  • Work with Travel Agency to implement bookings on line and Travel Tracker keep flights and hotels updated of travelers non registered by our travel agency

  • Ensure protection, Coaching and disciplining the team about Office and Safety and support visitors

  • Qualifications

  • At least 2 years of administrative, receptionist, or office management experience
  • Advanced English is Mandatory
  • Availability to work fulltime in the office (no remote work)
