Position Purpose :

Assist the Vice president of Supply Chain and Logistics in their general administrative functions.

Let’s talk about the main responsibilities :

  • Perform and receive calls, receive the correspondence, draw letters, manage personal information, manage the agenda sending meeting invitations, receive documents that need vice president s signature, take the visitors from reception to Vice president office and take them back when finishing the meeting, archive documents, fill out various forms.
  • Prepare and follow up o flight tickets and hotel booking. To do the account expenses of the vice president bills

  • Send the meeting invitations, meeting rooms booking for the different meetings of the area making sure of the optimal performance of the meeting room tools such as video beam, red connection, chairs, etc.
  • Contact to the responsible person to fix any of those tools in case it needed. Coordinate the snacks in case that the meeting required.

    Contact the cleaners at the end of each meeting to clean the meeting room.

  • Perform the respective shopping carts of each supplier such as hotels, transportation service, snacks provider, etc. Do the follow up in order to obtain the Purchase order number, approvals, and send this information to the suppliers by mail.
  • Receive calls and onsite (my office) request of people who need a meeting with the Vice President, checking out the lotus agenda of the Vice President to see for any available time to schedule the meeting, also inviting another people involved in the meeting subject.
  • What you need for this position :

  • A technical or Professional career in Business, Administration or Secretary
  • At least 2 years of experience in similar positions
  • Intermediate Microsoft Excel, Word & PowerPoint
  • English proficiency
